With the Excel functionality, you can manage your offers quickly and efficiently. You can download existing offers, edit the data in Excel, and then import the changes back to Solartraders.
This makes it easier to update your offer portfolio, for example when you need to change prices or quantities for multiple offers at once.
1. Downloading Offers
You can download your offers as an Excel file in the “Manage Offers” section.
There are two options for downloading offers:
Download all active offers
Using the download function in “Manage Offers”, you can download all of your currently active offers as an Excel file.
The file contains the current data of your offers and can be edited directly in Excel.
Download selected offers
You can also select specific offers and download only the offers you have marked.
When downloading marked offers, active, expired, and deactivated offers are included. Archived offers are excluded.
This option is particularly useful if you only want to update a specific part of your offer portfolio.
2. Structure of the Excel File
The Excel file contains the following columns:
Column | Required | Description |
Offer no. | No | The unique offer number assigned by Solartraders. Do not change this for existing offers. Leave it empty for new offers. |
Solartraders-Warehouse-ID | No | The unique ID of your Solartraders warehouse. Do not change this value so that the offer remains assigned to the correct warehouse. |
SKU | For new offers | Your own article number. This can be used to match your article to a Solartraders product. |
Product | No | The product name used by Solartraders. This column is for reference only and is not imported. |
Quantity from | No | Minimum order quantity in units. If left empty, a minimum quantity of 1 unit is used. |
Quantity to | Yes | Maximum available quantity in units. This value determines the stock quantity of the offer. |
Price per unit/Wp | Yes | For solar modules, the price in € per watt (up to three decimal places). For all other products, the price in € per unit. |
Available from | No | Date from which the product is available. If left empty, the offer is considered available immediately. |
Full pallets only | No | Enter a value if you only want to sell complete pallets. This option is only available for solar modules. |
Full containers only | No | Enter a value if you only want to sell complete containers. This option is only available for solar modules. |
Offer trust service | No | Enter a value if you want to offer the Solartraders Trust Service for this offer. |
Important: Do not change the structure of the Excel file
To ensure that the import works correctly, do not add, delete, or rename any columns.
The order of the rows does not matter.
3. Editing Existing Offers
The downloaded Excel file contains your current offers.
To update an existing offer, simply change the desired values in the corresponding row.
Example
You want to change the price and available quantity of an existing offer:
Open the downloaded Excel file.
Find the relevant offer using the Offer no.
Change, for example, Quantity to and Price per unit/Wp.
Save the Excel file.
Import the file again via Sales → Import Offers.
Do not change the Offer no. of an existing offer. It ensures that your changes are assigned to the correct offer.
4. Creating New Offers via Excel
You can also create new offers using the Excel file.
To do so, add a new row and:
leave Offer no. empty,
enter your SKU,
add the relevant offer data.
If the SKU is already known to Solartraders, the corresponding product can be assigned automatically.
If the SKU has not yet been assigned to a Solartraders product, you can complete the product assignment after uploading the file. The assignment will then be saved and can be used automatically for future imports.
5. Importing Offers
Once you have edited and saved the Excel file, you can upload it again under Sales → Import Offers.
If there are no open product assignments, you can start the import directly from the list.
For existing offers, the Offer no. is used to identify the offer. This means that expired and deactivated offers can also be updated. Archived offers cannot be updated through this process.
After uploading the file, the data will be checked and displayed in a preview.
You can review the imported offers and complete any outstanding product assignments if necessary.
Price ranges
The configured quantity discounts are automatically applied to the entered price during the import.
The corresponding price ranges are displayed in the preview and detail view.
Important: Import discounts are only applied to new offers.
6. Deactivating Offers
Deleting a row from the Excel file does not automatically deactivate or delete the corresponding offer.
If you remove a row from the file, the offer will simply not be updated during the import. The existing offer will remain online.
If you want to deactivate offers that are no longer included in the Excel file, you must explicitly select the corresponding option to deactivate missing offers during the upload.
7. Required Information
To publish an offer, the following information must be provided in particular:
Quantity to
Price per unit/Wp
If one of these values is missing, the offer cannot be published.
Such offers will be displayed in the import overview so that you can add the missing information.
8. Special Features for Quantities, Pallets and Containers
Quantity from
Use Quantity from to define the minimum order quantity.
If the field is left empty, a minimum quantity of 1 unit is automatically used.
Quantity to
Quantity to specifies the maximum available quantity and therefore determines the stock quantity of the offer.
Full pallets only
If you only want to sell complete pallets, enter a value in this field.
This functionality is only available for solar modules. The minimum order quantity will then automatically be set to a complete pallet.
Full containers only
If you only want to sell complete containers, enter a value in this field.
This functionality is also only available for solar modules. The minimum order quantity will then automatically be set to a complete container.
9. Solartraders Escrow Service
If you want to offer the Solartraders Escrow Service for an offer, enter a value in the Offer trust service column.
If the field is left empty, the Trust Service will not be activated for that offer.
10. Recommended Workflow
For regular maintenance of your offer portfolio, we recommend the following workflow:
1. Download your offers
Download all active offers or selected offers under “Manage Offers”.
2. Edit the Excel file
Update prices, quantities, availability, or other relevant information.
3. Save the file
Keep the original column structure unchanged and save the edited file.
4. Import the file
Go to Sales → Import Offers and upload the Excel file.
5. Check the preview
Review the imported data, any open product assignments, and the displayed price ranges.
6. Complete the import
Once all information is correct, complete the import.
This allows you to update larger offer portfolios quickly and efficiently.
